Total Mini Split ("Total Mini Split," "we," "us" or "our") is a trade name of TruFicient Energy Solutions. This Privacy Policy explains how we collect, use, share and protect information when you visit totalminisplit.com (the "Site"), request an estimate, book a site visit, create an account, make a payment, call us, or text us at (817) 552-3680.

By using the Site or our services, you agree to this Privacy Policy.

Information we collect

Information you give us

• Name, email address, mobile phone number and service address (including ZIP code)
• Details about your project, such as the space type, size, photos you upload and notes
• Messages you send us by text, phone, email or the chat on our Site
• Account login information
• Your SMS consent choice and the date and time you gave it

Payment information
Payments are processed by our payment provider, OttoPay, using Stripe as the card processor. We do not store full card numbers on our systems. We receive limited details such as payment status, amount and the last four digits of the card.

Information collected automatically

• Device and browser type, IP address, approximate location and pages visited
• How you use our estimator and Site, collected through cookies and similar technologies
• Call and text records (date, time, phone number and message content) for calls and texts with our business number

How we use your information

• Provide estimates, schedule and perform site visits and installations
• Send one-time passcodes to verify your identity when you sign in
• Send appointment confirmations, reminders and scheduling updates
• Respond to your questions and provide customer care, job updates, invoices and payment notices
• Process payments, deposits and refunds
• Register equipment warranties with the manufacturer
• Ask for feedback or a review after your installation
• Improve our Site, estimator and services
• Comply with legal obligations, including Texas licensing requirements

Text messaging (SMS)

If you opt in, we send text messages from (817) 552-3680. These include account login codes, appointment messages and customer care messages about your project. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help. See the SMS section of our Terms of Service for full program details.

We do not share, sell or rent your mobile phone number or SMS opt-in consent with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers that deliver our messages on our behalf (such as our messaging platform, Twilio).

How we share information

We do not sell your personal information. We share it only as follows:

• Installer of record. The licensed HVAC contractor who performs your installation receives the information needed to do the job, such as your name, address, phone and project details. At this time that is TruFicient Energy Solutions.
• Service providers. These include companies that host our Site and data, send texts and emails, process payments, and provide analytics or AI chat tools. They may use your information only to provide services to us.
• Manufacturers and distributors. We share equipment serial numbers and installation details to order equipment and register your warranty (for example, Mitsubishi Electric).
• Legal and safety. We share information when required by law, to protect our rights, or to prevent fraud.
• Business transfers. If our business is reorganized, sold or transferred, including to a new Total Mini Split company, your information may transfer as part of that transaction and remains covered by this policy.

Cookies and analytics

We use cookies and similar technologies to keep you signed in, remember your estimator progress and understand how the Site is used. You can control cookies in your browser settings. Some features may not work if cookies are disabled.

Data retention

We keep your information as long as needed to provide our services, honor warranties, keep business and tax records, and meet legal requirements. Job and warranty records may be kept for the life of the equipment warranty.

Security

We use reasonable administrative, technical and physical safeguards to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

• Text messages: Reply STOP to any message to opt out.
• Email: Use the unsubscribe link in any non-transactional email.
• Access, correction or deletion: Contact us to request a copy of your information, correct it or ask us to delete it. We may keep information we are required to retain by law or need for warranty and transaction records.

Texas residents may have additional rights under the Texas Data Privacy and Security Act. We will respond to verified requests as required by law. If we decline a request, you may appeal by replying to our response.

Children's privacy

Our Site and services are not directed to children under 13, and we do not knowingly collect information from them.

Changes to this policy

We may update this Privacy Policy. When we do, we will change the "Last updated" date above. Material changes will be posted on this page.
